Job Summary:

We are seeking an experienced Exchange Administrator to manage and support Microsoft Exchange Server and Exchange Online environments. The ideal candidate will be responsible for email infrastructure, mail flow, security, and troubleshooting while ensuring high availability and performance of email services.


Key Responsibilities:

Exchange Server & Exchange Online Administration:

  • Manage and maintain Exchange Server (On-Premises) and Exchange Online (M365).
  • Administer email routing, connectors, transport rules, and hybrid mail flow.
  • Monitor and optimize mailbox databases, DAGs, and email queues.
  • Configure and manage Retention Policies, Archiving, and Legal Hold.
  • Ensure high availability and business continuity through backup, disaster recovery, and failover strategies.
  • Experience with email encryption solutions (S/MIME, PGP, Microsoft Purview Message Encryption).
  • Knowledge of SIEM tools (Microsoft Sentinel, Splunk, etc.) for email security monitoring.
  • Experience in third-party email gateways (Proofpoint, Mimecast, Barracuda, etc.).

Email Security & Compliance:

  • Implement security policies, including DKIM, DMARC, SPF, and anti-phishing mechanisms.
  • Administer Defender for Office 365 (EOP), spam filtering, and malware protection.
  • Monitor email logs for anomalies and investigate security incidents.
  • Ensure compliance with regulatory requirements (GDPR, HIPAA, ISO 27001).

User & Group Management:

  • Manage user mailboxes, shared mailboxes, distribution groups, and resource mailboxes.
  • Configure mailbox permissions, delegation, and forwarding rules.
  • Handle email migrations (On-Prem to Exchange Online, tenant-to-tenant, or third-party systems).

PowerShell Automation & Scripting:

  • Develop and maintain PowerShell scripts for automation, reporting, and mailbox management.
  • Automate user provisioning, email configurations, and compliance reports.
  • Optimize performance through script-based monitoring and automation.

Monitoring, Troubleshooting & Support:

  • Monitor Exchange Server health and email performance using Microsoft Exchange Admin Center, PowerShell, and third-party tools.
  • Troubleshoot email delivery issues, NDRs (Non-Delivery Reports), and Exchange services.
  • Work with Microsoft Support (Premier Support cases) when needed.
  • Provide L2/L3 support for escalated email-related issues.

Documentation & Collaboration:

  • Maintain detailed documentation of configurations, policies, and troubleshooting steps.
  • Work with security and compliance teams to implement best practices.
  • Train and assist Helpdesk (L1) teams for handling common Exchange-related tasks.

Required Skills & Qualifications:

Technical Skills:

  • 5-8 years of experience in Exchange Server (2016/2019) and Exchange Online administration.
  • Expertise in Hybrid Exchange environments (On-Prem + M365).
  • Strong understanding of email security best practices (SPF, DKIM, DMARC, TLS, ATP).
  • Proficiency in PowerShell for Exchange administration and automation.
  • Knowledge of Microsoft Defender for Office 365, EOP (Exchange Online Protection).
  • Familiarity with Active Directory (AD), Azure AD, and identity synchronization tools (AAD Connect, AD FS).
  • Experience with email migrations (Cutover, Staged, Hybrid, or Third-Party Tools like Quest, Bit Titan).

Soft Skills:

  • Strong problem-solving and troubleshooting skills.
  • Ability to work in a fast-paced, high-pressure environment.
  • Excellent communication and collaboration skills.
  • Attention to detail with a security and compliance mindset.

Preferred Qualifications (Nice to Have):

  • Microsoft certifications such as MS-102 (Microsoft 365 Administrator Associate), MS-220 (Troubleshooting Exchange), or MS-203 (Microsoft Exchange Messaging Administrator).
